Uploaded Files and Course Materials
Uploaded documents may be temporarily processed to generate instructional design reviews, AI-assisted feedback, or other requested outputs.
CourseArc uses temporary file storage during processing workflows. Uploaded files may be automatically deleted after processing is completed.
Authorized project personnel may review submitted content, feedback, prompts, or generated outputs to improve system quality, accuracy, usability, and alignment with organizational guidance.
Users should not upload regulated, classified, or highly sensitive information unless explicitly authorized by their organization.
AI Processing
CourseArc uses secure processing infrastructure and specialized technology services to generate AI-assisted responses, instructional design reviews, and workspace-based guidance outputs.
Submitted prompts, uploaded materials, and extracted document text may be processed as necessary to provide requested platform functionality and improve system performance.
AI-generated outputs may contain inaccuracies and should be reviewed by qualified personnel before implementation or operational use.
Data Sharing
CourseArc does not sell personal information.
Information may be shared with trusted service providers that support platform operations, including providers for:
- Authentication
- Cloud hosting and infrastructure
- Database and storage services
- AI-assisted processing functionality

Information is shared only as reasonably necessary to provide platform functionality and maintain service operations.
Data Retention
CourseArc retains operational, workspace, feedback, and usage information only for as long as reasonably necessary to support platform functionality, security, analytics, legal obligations, or service improvement activities.
Temporary uploaded files may be deleted automatically after processing.
Security
CourseArc uses reasonable technical, administrative, and organizational safeguards to help protect information and workspace content.
However, no system can guarantee complete security. Users remain responsible for following their organization’s policies regarding confidential, regulated, or sensitive materials.
Organizations with specialized security, retention, hosting, or compliance requirements may contact the CourseArc team to discuss potential enterprise deployment options, workspace configurations, or operational accommodations.
Organizational Workspaces
CourseArc may be deployed or configured for organization-specific workspaces that use customized instructional guidance, review standards, branding, or operational settings.
Workspace administrators or sponsoring organizations may have visibility into workspace usage, submitted materials, feedback, or generated outputs consistent with organizational policy and platform administration needs.
